40 th REUNION COMMITTEE MEETING
Meeting Date: 14 December 2009
Attendees: Gaw, Rauschkolb, Torreano, Dahlen, Emery
Priority discussion about reunion coordinator. Four basic options: AOG, MilitaryReunionPlanners, MilitaryBrat, Mike Jensen(Class ’84) as a consultant.
Much spirited discussion. Vote was to go with AOG.
Rationale: AOG is a known entity. Cost difference is minimal when considering total cost per attendee (hotel, meals, airline, rental car, etc). Financial accountability seems cleaner with AOG. Questions of bonding for outside event coordinators. No data base security issues using the AOG. Neither of the outside companies had experience coordinating events through the Academy staff agencies. Cost to bring in event coordinator personnel to oversee events and registration eats into slim profit margin.
Committee will negotiate admin fee with AOG. Desire is for single rate for all. Non-members should not be penalized for coming to a class get-together (POC-Gaw)
Try to get AOG to offer Checkpoints for one year to non-members and/or 1 year discount price for membership. Currently $60/year or $700/lifetime.(POC-Gaw)
Research hosting class-only tailgate (POC-Gaw)
Generate first mass mailing by end of December to explain dates and preliminary schedule. Include paragraph about Pavilion dedication. Stress quick feedback by e-mail on attendance interest, arrival days, and volunteer opportunities.(POC-Gaw)
Schedule Doolittle Hall for Memorial service(inclement weather) and class meeting(POC-Gaw)
Dahlen to provide words on Pavilion for first mailing.
Key focus for upcoming planning: Identify volunteers for sub-committees(POC-Gaw/Emery). Separate reunion committee meetings from Class Gift meetings.
